Five phases, no surprises

Migrations fail in predictable ways. This sequence exists to head off each one.

Audit what you actually have

Before anything moves, we find out what is really in there — how many records, how much of it is duplicated, what fields your team invented workarounds for, and what nobody has touched in six years. Most migrations go badly because this step got skipped.

Map old to new

Your current system and the new one do not model the world the same way. We map every field, relationship, and piece of history to where it belongs — and flag the things that have no equivalent so you decide what happens to them, not us.

Clean the data

A migration is the one honest chance you get to fix years of accumulated mess. Duplicates get merged, dead records get archived, inconsistent formatting gets normalized. You move in clean instead of hauling the clutter across.

Move it — with history intact

We migrate in staged passes with a test run first, so you see the result before it is live. Giving history, attendance, membership dates, notes — the things that took years to accumulate come with you. Nothing gets flattened to "imported 2026."

Train the people using it

A perfect migration still fails if the staff go back to the spreadsheet. We train your team on the new system in the context of their actual jobs, and we stay reachable after go-live for the questions that only surface once people are really using it.

Churches moving off legacy ChMS onto Planning Center Online

The migration we've run most often is a church leaving an aging church management system — Church Community Builder, ACS, Shelby, Breeze, or something a volunteer built in 2011 — and landing on Planning Center Online.

It's the hardest version of the problem, which is why it's the one worth naming. Church data is unusually tangled: households and relationships, giving history that has to stay auditable, attendance and check-in records, volunteer scheduling, background-check status, decades of pastoral notes. A generic data dump loses most of it. We don't.
